Multilingual HR document processing with compliance tracking
Employment contracts, payslips and policies arrive in many languages from many jurisdictions. Zapper Edge translates, extracts and stores them under policy, so HR sees compliance status in one place and each role sees only what it should.
The challenge
A global employer holds contracts, payslips and policy documents written in many languages and shaped by local employment rules. Reading them, keying in the key fields and translating them by hand is slow and error-prone, and it pulls HR teams away from work that needs their judgement.
The documents also carry personal and salary data, and the rules about who may see what differ by country. Without one record of versions, one view of compliance status and access that follows role, HR cannot show that policy was applied the same way everywhere.
What it does
Multilingual intake
HR documents are collected from a secure transfer location in their original language, so contracts, payslips and policies enter one governed flow instead of scattered mailboxes and folders.
Translation to a common language
Each document is translated into a single working language in a structured text format, so HR staff and reviewers can read and compare documents from any country.
Structured field extraction
Names, roles, pay details, dates and terms are read from the document into defined fields, replacing manual data entry with records a person can check.
Version history
Validated records are stored with a full history of changes, so every edit to an HR record is traceable to a version, a time and a reviewer.
Role-based PII redaction
Personal data is masked or shown according to the viewer's role, so HR, managers and auditors each see the level of detail their policy allows.
Compliance tracking view
A single dashboard shows document status and policy compliance across jurisdictions, so gaps are visible without opening individual files.
How it works
Ingest documents
Documents arrive through a governed transfer path in their original languages and formats. Scans are read by an OCR engine so text can be extracted.
Translate and extract
Text is translated into the working language, and defined fields such as role, pay and dates are captured into a structured record for review.
Validate and store
Records are checked against rules, corrected by a reviewer where needed, and stored in the enterprise database with a complete version history.
Present by role
Dashboards and record views apply role-based access and PII redaction, so each viewer sees compliance status and detail suited to their role.

Inside the harness
Policy
Rules decide who can see which fields, which jurisdictions apply and what status a document holds, and they are applied the same way to every record.
Security
Documents move over secure transfer, access follows role, and personal data is redacted for viewers who are not entitled to it.
Audit
Every version, edit and view of an HR record is logged, so reviewers can trace how a record reached its current state.
Guardrails
Extracted fields are validated before they are stored, and records that fail checks are held for human review instead of entering the system.
Business outcome
Less manual reading and keying. Translation and field capture are done by the pipeline, so HR teams review exceptions rather than retype every document.
One view of compliance. Status across jurisdictions appears in one dashboard, so HR can see where policy is met and where it is not without chasing local teams.
Access that follows role. PII redaction by role means sensitive pay and personal data reach only the people who are entitled to see them.
Records you can defend. Version history and logs let HR show how each record changed, which supports internal review and external audit.
Where it is used
- Bringing employment contracts from several countries into one searchable record set in a common language.
- Capturing payslip and benefit fields for HR analytics while masking pay data from managers.
- Tracking whether each regional policy document has been issued, acknowledged and kept up to date.
- Preparing HR records for an internal or external audit with full version history.
Frequently asked questions
Which languages are supported?
Coverage depends on the translation and OCR models you choose in the harness, which stay vendor neutral. The languages in scope are confirmed with you during setup and tested on your own sample documents.
Who sees personal data?
Access follows role. Policy defines which fields each role may view, and redaction masks the rest. HR administrators, managers and auditors can each be given a different view of the same record.
Are translations and extracted fields checked by people?
Fields that fail validation go to a reviewer, and your team decides how much review a document type needs. AI proposes the record, people confirm it where the rules require it.
Does this make us compliant with employment law?
No. It helps you apply your own policies consistently and show how records were handled. Compliance status is aligned to the rules you configure, and legal review of those rules stays with your team.
